Hello All
I jumped on Daylite at I think 1.5 but have only used it in a limited way for a variety of reasons. I have accumulated a lot of junk in keywords groups categories etc. I have also about 3000 contacts. I am after some advice on the easiest road ahead. I would like to use a film industry template as a basis for my work. Its not perfect but is a starting point. So do I export all contacts in the existing DB to vCards and reimport them to the new DB (loosing the multiple links relationships and so on) Or do I delete and clean out my existing DB of erroneous methods of work and enter the categories pipelines activity sets, opportunities as so on in their place. Thoughts ideas blind spots? |

It's kind of up to you. If you have a lot of linking and relationships, you'd almost have to update the database rather than exporting it, or you'd lose a lot of hard work.

Let me expand Sebastian's question a bit.....if I upgrade my DB to the industry template by exporting the Contacts, what happens to the email history/linkages?

Hello,
Just thought I'd offer my two cents. As Howard has mentioned, exporting all your data and importing into the Film template would be hard work. It's much less beneficial then simply studying the film template and applying the things that matter to your database. Maybe this will help. I've taken all the customizations in the preferences for the Film template and simply typed them out. Now you can open up your Daylite database preferences and go to town on them. Categories Contact: Agency, Cast, Client, Competitor, Crew, Employee, Lead, Media, Personal Organization: Agency, Client, Competitor, Media, Personal Opportunity: Branding, Marketing, Motivational, Personal, Public Relations, Sales/Promotional, Training/Education Project: Branding, Hiring, Marketing, Motivational, Personal, Public Relations, Sales/Promotional, Training/Education Groups: none Appointments: Auditions/Interviews, Client Meeting, Consultation Meeting, Film Shoot, Personal Tasks: Administrative, Auditions/Interviews, Film Work, Personal Note: Adminstrative Keywords Contact: Administration, Assistant Director, Casting Director, Director, Director of Photography, Editor, Junior Editor, Mailing List, Property Master, Reviewer, Sales, Screenwriter, Sound, Talent Organization: Administration, Mailing List, Reviewer Opportunity: CD, DVD, Events, Flash Interactive, Reviewer, TV Commercial, Web Video Project: CD, DVD, Events, Flash Interactive, Reviewer, TV Commercial, Web Video Contact Roles Organization Project Opportunity Art Direction x x Assistant Direction x x Cast x x Casting Director x x Client x x Director x x Film Editor x x Photography x x Production Manager x x Sales Representative x x Screenwriter x Sound Editor x x Talent x Agent x Decision Maker x x Employee x Main Contact x Organization Roles Advertising x Client x x Consulting x Creative x Design x Development x Marketing x Photography x Printing x Prospect x x Service Provider x Writing x Relationships Competes with Is a client of is friends with is related to is the director of knows manages referred works with Custom Form Form Name: Marketing Review Form Applies to: Projects Form Fields: Author Name, Source, Source name, URL, Date Opportunity Types Daily Rate Flat Rate Hourly Opportunity State Reasons Reason State Competitor offered better price Lost Expensive Price Lost Good Price Won Inappropriate Style Lost No Response Abandoned Other Lost Project Cancelled Abandoned Style Won Activity Sets Name: Pre-Production Set Applies to: Projects Steps: Create Storyboard, Casting Sessions, Book Crews, Site Surveys, Equipment Discussion/Selection, Coordinate with Externals, Review of Props Makeup & Wardrobe, Coordinate with Client Name: Post-Production Set Applies to: Projects Steps: Rough Cut, Client review, Director's Cut Name: Distribution Set Applies to: Projects Steps: Artwork, DVD Authoring, Programming, Duplication Name: Production Set Applies to: Projects Steps: Shooting Name: Development Set Applies to: Projects Steps: Prepare Synopsis, Step Outline, Treatment, Script Writing Pipelines Applies to: Opportunity Name: New Prospect Stage 1: Initial consultation Stage 2: Quote Stage 3: Follow-up Applies to: Project Name: Film Production Stage 1: Development Description: Create Script, Hire Cast, Rent Props, Pick Location Stage 2: Pre-Production Description: Establish Budget, Storyboard finalized Stage 3: Production Description: Filming Stage 4: Post-Production Description: Editing film, sound effects, screen effects Stage 5: Screening/Distribution Applies to: Projects Name: Hiring Crew Stage 1: Contact Talent Stage 2: Talent Responds Stage 3: Sign Contract Ultimately the workflow document that supports this database template is the real 'nut'. I know I've said it before in other posts, but the true value comes from the workflow. |
