We're new users of Billings. We've set up a tidy workflow for use with Daylite that looks like it'll be great, but on the cusp of putting it into action we have run into a snag that looks like it could make things messy in the long run. I'm hoping we've just missed something basic here.
Here are the basic steps: - product and service line items are in Daylite - quotes are done in Daylite - when the sale is made, admin person processes order and creates invoice as follows: - org is imported from Daylite to Billings - while importing org, opportunity pops up, and line items of quote are imported as working slips - now the problem - we right-click on org name in Billings, choose Link To..., then choose the contact name in Daylite that should appear on the invoice - the Organization name disappears from Billings, and only the Contact name is in the Client list - the invoice is created, and printed, emailed as required The issue is that now we have the contact person as the client, not the organization, and as the quantity of invoices grow, this would be a mess. We obviously don't want to find an old invoice by looking up the name of the contact person who happened to the contact person for that sale, we want to look up the company. The reason we are doing this linking step is so that the invoice can be directed to the key person's attention. In our testing, it's the only way our invoice gets both the company name and the contact name. If we link in the opposite direction, we don't get the company address. Bug? Or are we missing something? |

Well, no replies, so I don't know if I'm just talking to myself, but we found out what's going on. Our assumption was that the Link To feature in Billings would do the same thing it does in Daylite: link a contact to an org. It doesn't do that at all, it simply swaps the client to which a project is assigned. So do I conclude that Billings just doesn't handle the concept of linked org and contact, which is integral to Daylite?
Our fix, though I'm not all that happy about it, is to import the org from Daylite, then edit it in Address Book, and manually add the contact name for use in the invoice. Happy overall with what we're getting by moving Daylite estimates to Billings, but there's room for improvement here. Having to type this contact name in when all other parts come automatically is not exactly what I'd call a workflow. This must be something others have run into. I'd still be happy to be told we've missed something obvious. Any thoughts? |
