Most of the job requests I receive are via email and will have attachments that include instruction and supporting files. This would include PDF files of previous layouts, Word docs with updated text, ect. I don't want to strip the attachments because that will be of use to the person I delegate the project to. Since I am the Art Director the majority of the emails come to me so I will link them to the projects but I may not be the one assigned to the project.
Due to the number and size of attachments I'm wondering if later down the road can I strip those attachments but still keep the email linked to the project? I'm not overly concerned about this, I have about 3 years worth of email on my machine but as more users could become a part of the database it could "swell up". Would this also slow down the response time of the database? Could the database cleaned off after a certain time? Say once the database becomes 36 months old could I delete the projects that are older than 36 months each month? |

Hi Kimberli,
What I do with supporting documentation is to save it to the client's folder on my hard drive. Within that folder are sub-folders that include stuff pertinent to certain Projects. So what I can do with this method is to create a File Reference that links the client's entire folder to their Contact record and/or link the Project sub-folder to the Project record. This also works well in a multi-user environment, with the caveat that the other users have to be given access to those client folders. That's how we currently handle files but to keep the files with the email is much easier for the person handling the project. We're moving towards working from home a few days a week so we need to be able to get what we need from the database. However, it seems that if we go with Daylite we probably house this on our XServe.
